Exact-match rules: suffix, comma, middle initial

FMCSA tells applicants the name and address on the insurance filing must match the application exactly, including the MC number without a stray suffix. Exact is a character compare, not a person reading the name aloud and deciding the two versions are close. North Line Logistics LLC is not North Line Logistics, LLC. It is not North Line Logistics L.L.C. It is not North Line Logistics. A middle initial that sits on the application and is missing on the policy is the same class of miss as a wrong suffix. A comma that a well-meaning clerk inserts before LLC is a different string.

Pick the string on the FMCSA Register notice and use only that. If the Register line and the application PDF disagree, stop and resolve the application record before the filer sends a third version. Two corrections crossing in one afternoon produce a third reject. One person pastes the characters. Nobody retypes them from memory. Read the pasted block back out loud, character by character, including the periods in L.L.C. if that is what the notice actually prints.

A comma is a different name

LLC, L.L.C., and a missing suffix are three strings. The matcher does not treat them as the same company because a human would.

Address lines that do not match

Address lines fail the same matcher. Suite 200 versus Ste 200, a highway-contract box versus the street the truck parks on, and a formation-agent address you no longer use will reject a filing that had the name right. Paste the application address, including punctuation and the suite, into the email to the filer. Do not describe the address. Copy it.

Do not let the agent correct the address to the garaging ZIP they rated and leave the application address behind. The rating ZIP and the FMCSA address can differ only if you have updated the application first. A filing sent to the old address against a new application, or the reverse, is a reject even when both addresses are real places you have used. If the census address is wrong and the application copied it, fix the record FMCSA is matching before you ask the insurer to invent a cleaner one. The filing follows the docket. The docket does not follow the letterhead.

Two defects in one transmission are cheaper than two rounds. If the name and the address are both off, put both corrections in the same endorsement request. A name-only retransmit that still carries yesterday's suite number burns another business day and does not move the posting. Ask the filing desk to read both lines back before they transmit.

MC number typed with the wrong suffix

The MC number on the filing is the docket, without a stray suffix and without letters the form does not ask for. An old revoked docket number filed by habit posts on the wrong file while this application stays bare. An FF number or an MX number is not this MC. A USDOT number typed into the docket field does not satisfy the authority you are trying to activate.

Give the filer the USDOT and the MC on two labeled lines, and label them in the email so a clerk cannot swap them. People transpose them every week. After any reject, ask what string they actually sent, not what they meant to send. If they cannot read the transmitted name, address, and docket back to you, they are about to guess again. Guessing is how day 16 becomes day 21.

A rejected filing is not a pending filing with a small typo. It is an absent filing until a new transmission is accepted and posted. Do not tell a broker the insurance is on file because the agent has a PDF of the policy. The policy can be perfect and the FMCSA row can still be empty. Those are different systems.

A DBA dropped into the insured blank

A DBA dropped into the insured blank is a reject even when the DBA is registered with the state and painted on the door. The insured is the legal entity on the application. The trade name can sit in a field that asks for a trade name. It cannot replace the named insured. If the policy was bound in the DBA, the fix is an endorsement to the legal name and a new transmission. It is not a phone call in which everyone agrees the names are close enough. Close enough is the reject reason.

Do not start a second LLC this week to match the policy. That is a new applicant, a new fee, and a new Register publication. The open docket is the one the clock is running on. Endorse the policy to that legal name, transmit against that MC, and leave the door logo out of the insured blank.

If a partner's personal name was used because the LLC had not been formed on the day of the quote, the filing still has to match the applicant that FMCSA has. A policy in a person's name does not support an LLC application, and a policy in the LLC does not support an individual application. Match the applicant. Do not average them.

How long a corrected endorsement takes

A corrected endorsement is an insurer process, then a transmission, then a post on Licensing and Insurance. The transmission after a clean endorsement is often one to five business days in ordinary planning, and it can be the same day if the filer treats the file as on fire. You are on fire if day 20 is inside this week. Say that in the first sentence of the call. Do not open with the truck note, the broker who is waiting, or a complaint about the first clerk. Open with the date the Register published and the exact string you need sent.

A rejection does not pause day 20. The window that started at Register publication keeps running while the filing sits in reject status. If you are inside the last week, call the filer. Do not shop a new agent from zero unless the current one cannot retransmit. A new agent means a new application at the insurer, a new down-payment conversation, and a bind that may not exist before a dismissal letter. Push the filer you already have.

If the current filer truly cannot send electronic filings, change markets the hour you learn that, not on day 19. Ask the question in writing: are you registered to retransmit today, and will the new row use this pasted legal name? A promise to mail a paper form to FMCSA is not the electronic transmission the system is matching. Get a yes or a no before you spend the remaining days on a path that cannot post.

You call the agent and you ask for the filing desk, not another quote. The agent tells the insurer's filer the pasted legal name, the pasted address, and the MC. The filer transmits. You do not. You check Licensing and Insurance the next morning and the morning after that. If the row is absent, you call again with the date of the claimed transmission and you ask what reject code came back. You do not email FMCSA the policy PDF and count that email as the filing.

Then, and only then, tell a broker the filing is up. Authority can still be pending for other reasons. A posted, name-correct filing is evidence of financial responsibility. It is not, by itself, an active authority.
