Think of one folder, not twelve emails. Most brokers now use a portal (their TMS, a third-party onboarding tool, or a load-board compliance product). The portal still wants the same five files. A COI is a letter from the insurer or agency describing coverage on a date. It is not MCS-90. It is not BMC-91. Brokers look at the COI and at L&I. Courts look at the policy. W-9 and Legal Name Match
Brokers 1099 you. The W-9 is how they do it without backup withholding drama. Use the current IRS Form W-9. LLC taxed as a disregarded entity versus an S-corp is a tax conversation with your CPA, not a Facebook poll — but the name on line 1 has to match the MC and the bank. A sole prop using a personal Social on a W-9 while the MC is an LLC is how accounting rejects the packet. Official form: IRS W-9.

Setup answers “will they let me haul.” Credit answers “will they pay.” A broker can onboard you in an hour and still be a 30-day slow-pay with a Highway score you would not touch.
